This proposal follows our conversation on May 15. It scopes a modular Bayside AI engagement covering a new website, a structured online presence layer, your choice of initial automation options drawn from what we discussed, and an optional Operational Opportunity Audit to surface additional automation and AI-native integration concepts as the firm grows.
The engagement is structured as independent modules. The Ramtin Group selects the combination that fits the firm's current priorities and budget. Each module is scoped, priced, and timed independently so that none depends on another, and any combination ships as a single engagement.
All amounts in this proposal are stated in United States Dollars (USD).

A note on pricing.
The figures in this proposal reflect Bayside's first-client structural engineering pricing. As a new firm building its initial portfolio, Bayside is investing in this engagement at a rate well below what will become the standard once two to three completed engagements are in portfolio. The Ramtin Group benefits from a meaningful discount today; Bayside benefits from a foundational case study and reference relationship.
Standard rates will apply to subsequent structural engineering clients beginning with the fifth engagement in the sector. Pricing in this proposal is valid through June 30, 2026.

Build + ongoing maintenance · $4,000 upfront + $150/mo

A new website built on a modern, fast, AI-readable framework. Replaces the current Wix site with a Next.js application hosted on Vercel.

- Insights and news section connected to LinkedIn so posts syndicate automatically
- Basic contact intake form with lead-source tracking on every submission
- Clean technical foundation: schema markup throughout, accurate metadata, brand consistency (no more "Ramin Group" anywhere), no broken links, working /contact-us route

Ongoing Maintenance & GEO/AEO Optimization
The AI-search landscape (AEO) and general search landscape (GEO) are both evolving rapidly. Schema standards shift, AI crawlers re-weight authority signals, and a competitive set publishes more content every quarter.
A website without an ongoing care layer becomes a stale website inside twelve months. The maintenance retainer keeps the site current and pushes updates within days, not weeks.
What's included
- Up to four small copy or page updates per month (new project added, new team member, new service detail, news post)
- Quarterly schema and structured data audit, with adjustments as AEO standards shift
- Quarterly AI-search visibility report covering ChatGPT, Perplexity, Gemini, and Claude
- Quarterly GBP and Google search performance report
- Security patches, dependency updates, hosting management
- Email support for ad-hoc questions and minor changes
Cost: $150/mo, billed monthly. 30-day cancellation notice. First month begins the month following launch.
Client Intake & Proposal Engine

Optional add-on. Recommended for any firm that wants to capture, route, and follow up on every inbound inquiry automatically.
What it is
A smart intake form on the website that captures every incoming inquiry. Inquiries are sorted on the back end by scope and routed into the appropriate response and follow-up workflow.
The goal is straightforward: no inquiry falls through, every inquiry gets an appropriate first response, every prospect has a structured intake record.

- For non-small or complex inquiries, the system generates a structured triage summary with a recommended response template for your review
Follow-up and payment
- Automated email follow-up workflow on a tracked cadence
- Payment link integration at the proposal stage (Stripe, ACH, or equivalent, configured during build)
- CRM-style intake log so no inquiry falls through

Maintenance

What it is
Active LinkedIn management for The Ramtin Group's company page and Ramtin's personal profile. Goes beyond the content pipeline (which surfaces project work as it happens) by producing regular voice-of-the-founder content and engagement at a steady cadence.
What's included
- Voice-capture session to lock the founder's writing voice into prompt templates
- Eight to twelve LinkedIn posts per month across the company page and Ramtin's personal profile
- Engagement layer: replies on Ramtin's behalf to comments, follows up on inbound DMs
- Monthly performance report (follower growth, impressions, engagement, attributable leads)
- Quarterly strategy review
Pricing structure
Available with the Website module. First three months are included at no cost.
$400 to $1,000 per month after the free period. Specific rate set during the first three months based on agreed post volume, engagement layer depth, and reporting cadence.
Bayside is open to a performance-aligned finder's fee arrangement as an alternative or supplement to the monthly retainer. Terms available on request.
Six-month minimum after the free period. 30-day cancellation notice thereafter.
The Operational Opportunity Audit

What it is
A two-to-three week structured audit of how work actually moves through The Ramtin Group. Bayside embeds with you and the team, maps workflows, data flows, exceptions, and decision points, and delivers a prioritized roadmap with ROI hypotheses for every recommended automation.
The audit is the discipline that satisfies Section 1.h of the ASCE Code of Ethics, which asks engineers to consider the capabilities, limitations, and implications of current and emerging technologies.
What the audit could lead to
The deliverable is a prioritized roadmap. The roadmap typically surfaces automation and AI-native integration concepts in the following categories. Final recommendations depend on what the audit reveals.
Internal automation and tooling
- Project-status dashboard for clients (lite client portal: see your project, drawings, invoices)
- Internal "chat with your documents" for the team (RAG over project archives, calc sheets, past proposals, ASCE references)
- Meeting ingestion and structured-notes capture across BD calls, project kickoffs, and team standups
- Smart proposal assistance for non-repeatable jobs (drafts pulled from your past proposals, your engineer fills in the technical sections)
- Document automation: scripts that translate data formats (PDFs into analysis software, accounting into report templates), API integrations with ASCE Design Hazard Maps and similar standardized data sources
AI-native firm infrastructure
- A structured firm knowledge base (the "company brain" concept) that becomes the substrate every future automation plugs into
- An internal candidate-screening workflow that addresses your one-to-two engineers per year hiring goal
- A pricing and proposal intelligence layer that learns from won and lost bids over time
- Integration patterns prepared for the next stage of the firm's tech ambitions
Engineering-side AI awarenessBayside name-checks, does not build
- Identifying where engineering-side AI tools (Thornton Tomasetti's Asterisk, NCSEA's SE GPT, CivCheck, Architstar, Genia, TangoBuilder) might serve The Ramtin Group's specific practice areas. We recommend; your engineers decide adoption.
Deliverables
- Two to three weeks of embedded observation and interviews
- A written roadmap document with prioritized opportunities, scoped ROI hypotheses, recommended sequence, and effort estimates
- A presentation walkthrough of the roadmap with you and any team members you include
- Audit fee ($1,000) credited in full toward any subsequent build engagement that comes out of the roadmap
Cost
$1,000 flat fee. The full audit fee is credited toward any subsequent build engagement that results from the roadmap.
Terms
Pricing, payment, scope, ownership, cancellation
Pricing posture. Pricing valid through June 30, 2026. See the pricing note above the module sections for context on first-client rates.
Payment schedule. 40% on acceptance, 40% at first-draft milestone, 20% on launch. Monthly retainers invoiced in advance. Audit invoiced in full on kickoff, credited toward any subsequent build.
Revisions included. Module 1.0 includes one round of structural revisions and two rounds of copy or design refinements. Additional rounds billed at $75/hr.
Scope boundaries. Bayside builds the operational and commercial layer. Bayside does not write, validate, or sign any engineering content. All structural judgment remains with The Ramtin Group's licensed engineers.
Security and data. All automations operate within The Ramtin Group's existing Microsoft 365 tenant or equivalent boundaries. No firm or client data is sent to public AI services without explicit approval. A written AI policy is delivered with any automation deliverable.
Ownership. The Ramtin Group owns all deliverables on full payment.
Cancellation. Either party may cancel with 30 days' written notice. Work completed through the cancellation date is invoiced at the percentage milestones above.

How to proceed and what you'll need to begin
To proceed, reply to this proposal indicating:
- 1.Which modules and add-ons are included (Website, Client Intake & Proposal Engine, Online Presence, LinkedIn Management, Operational Opportunity Audit)
- 2.Confirmation of the payment schedule and start date
Bayside will then issue a short engagement letter for signature and an invoice for the initial payment. Kickoff begins within five business days of countersignature, beginning with the Week 0 design direction meeting.
What we'll need from you to begin
To kick off the engagement, Bayside needs the following access and inputs. None are required at proposal acceptance; gathered during the first week.
- Admin access to your Wix account (read-only is fine initially)
- Admin access to Google Analytics 4, Google Search Console, Google Business Profile
- LinkedIn company page admin access (and personal profile access if LinkedIn Management is selected)
- A 30-minute kickoff call within the first week
- Photos and brief narrative notes on the five initial case study projects (we can interview you and the team for the narratives if photos are present)
- Decision on whether to add the Operational Opportunity Audit now or later
